Microdium Cloud Backup Getting Started

Microdium Cloud Backup is a browser based backup service running on the AWS platform using AWS S3 storage in user selected data centers in the US, Canada, EU, UK and Australia. We also take periodic “backups of the backups” from S3 to AWS Glacier for an added layer of security.

We perform automated daily backups accessing the MS365 data via Microsoft APIs. The initial backup is full data and subsequent daily backups are incremental. By default, we provide unlimited storage and unlimited retention of the daily backups.

 

Security

All data is stored in Amazon S3 storage and encrypted using advanced AES-256 bit encryption algorithms. Data isolation is ensured by the use of unique S3 keys for each backup task. Transmitted data is encrypted and secured using SSL (HTTPS) enabled servers. Only two people have access to S3 keys on a need to know basis for system support, and all access is logged.

We run periodic 3rd party (http://www.2bsecure.co.il) penetration tests of externally and internally facing systems, as well as annual vulnerability testing. Any critical vulnerabilities are addressed and retested.

We provide granular search and restore functions that require unencrypting / reading the data to build the index. The index is stored in a central index cluster, and all machines in the index cluster have disk encryption. When a search query is performed, the result from the index is returned to the front server as plain text.

 

Enterprise On-boarding Service

Microdium Cloud Backup  is a “self-service” system but for customers with over 1,000 users, we will perform a formal on-boarding process with the customer admin that includes setting up the account, setting up the backup services account and provisioning the backup tasks.

Microdium Cloud Backup  will then submit the initial backup tasks in controlled batches each day, monitoring API usage and adjusting the loa as needed. This allows us to manage

the job queues and minimize API throttling

 

Setting up your Microsoft Admin / Backup Services Accounts

To get started, you should create a separate backup services account for each MS365 service (Exchange, SharePoint, etc.) to reduce throttling and provide better isolation for security. Ideally each backup service account should be licensed, but this is not required in most situations. The accounts should be set up as follows:

 

  1. For Exchange Online
    1. Set up a Global Admin account with a name such as bkup_svc_exch@. This can be changed to an Exchange Admin account once the initial backup task is
    2. A licensed account is recommended, but not required unless you will be backing up Public

  1. For SharePoint:
    1. Create a backup services account with SharePoint Admin Use a name such as bkup_svc_sp@.

Setting up your Microdium Cloud Backup  Account

The next step is to set up your Microdium Cloud Backup  trial account as follows:

  1. Go to https://dashboard.backup.my , enter your account details and approve the Terms of All correspondence related to the account status will be sent to the Email ID used to setup the account.
  2. Confirm the setup by clicking on the link in the confirmation email sent to you. You’ll receive a link to our User Guide in the welcome email.
  3. The confirmation link will take you to the Microdium Cloud Backup login screen where you can complete the login to your

 

Activating the Initial Backups

Once the Microdium Cloud Backup  account is setup, from the Backups screen:

  1. Click on “Activate a new backup”, and then click on Exchange
    1. Enter the backup task name, select the “OAuth” option, click “Start” and approve the
    2. The system will then auto-discover and display all
    3. DO NOT ACTIVATE ANY BACKUPS AT THIS
  2. Click on “Activate a new backup”, and then click on SharePoint
    1. Enter the backup task name, enter the root URL such as “yourdomain.sharepoint.com”, select the “OAuth” option, click “Start” and approve the
    2. The system will then auto-discover and display all SharePoint
    3. DO NOT ACTIVATE ANY BACKUPS AT THIS
  3. Click on “Activate a new backup”, and then click on OneDrive
    1. Enter the backup task name, enter the root URL such as “yourdomain- sharepoint.com”, select the “OAuth” option, click “Start” and approve the permissions.
    2. The system will then auto-discover and display all OneDrive
    3. DO NOT ACTIVATE ANY BACKUPS AT THIS
  4. Click on “Activate a new backup”, and then click on Groups / Teams
    1. Enter the backup task name, select the “OAuth” option, click “Start” and approve the
    2. The system will then auto-discover and display all Groups and
    3. DO NOT ACTIVATE ANY BACKUPS AT THIS

Once this is complete, Microdium Cloud Backup  will submit the initial backup tasks in batches on a daily basis. We will monitor the daily status and keep you informed of the progress.

Setting your Backup Settings

Each backup service has a similar set of settings. Generally, you can leave the backup preferences set to their default value but we will review them during your on- boarding session. The settings consist of:

  1. Backup Time: Specify the approximate time you want the backups to run, typically midnight to 4am. Time is in UTC so you will need to adjust accordingly.
  2. Auto Detect: Leave this option on if you want to auto-detect new mailboxes, sites, , added to the system and automatically start a new backup task.
  3. Delete Auto Archive: The system will auto-archive a backup task once a mailbox / site has been deleted. If you have a retention policy, you can enter the retention period in days such as 180, 365, Auto-archived backup tasks will be deleted after the number of days specified has elapsed. Leave the field blank for unlimited retention.

 

Admin Management and 2FA

 

You can add additional admins to the Microdium Cloud Backup  account from the Settings > User Management. You can manage permissions for each admin including the services and functions they can perform. You can also activate 2FA from Settings > Security if needed for an added layer of security.
