Creating Extensions and Deploying the 3CX Apps
Introduction
This document describes how to create/import extensions and deploy the 3CX Apps.
Creating Users/Extensions
The “Extensions” function enables you to create, import and manage Extensions. To create a single extension, go the “Extensions” function in the 3CX Management Console and click the “Add” button.
Importing from a CSV file
To import a batch of extensions, use a spreadsheet with the key information for each User / Extension:
- Download Extension Import Spreadsheet .
- Enter extension, name, DID, etc. to import, keeping the original column order.
- In the 3CX Management Console, go to “Extensions” > “Import” > “Import CSV”, browse to select the CSV file and click “Open” to import the extensions to 3CX.
Note: If using Microsoft Excel, ensure that the MAC Address column is NOT formatted as a number, by right-clicking on the MAC address column and selecting “Format Cells…” to format as text.
Importing from Office 365
If you have Office 365 in your organization, you can set extensions to be automatically created or deleted when you add or delete Office 365 users.
Importing from FreePBX ®
If you are running FreePBX, you can export your current extension list and import it into 3CX.
Welcome Email
When you create an extension, a Welcome Email is sent to the new extension’s email address, containing important information: download links for the apps, QR code for app provisioning, Voicemail PIN and some basic getting started tips. The Welcome Email can be resent from the extensions page.
Online Cheat Sheet
3CX provides all users with an online cheat sheet, presenting visually the most important 3CX functions. A link to this is also included in the welcome email.
The 3CX Apps
3CX provides apps for Windows, Mac, iOS, Android and Google Chrome. 3CX’s Web Client enables users to control supported IP phones and softphones from their desktop:
- Call Pop-up – answer/reject/transfer a call from your
- Easy Call Transfer / Park – click to transfer or park a call, no need to learn dial codes or call transfer procedures on a
- Presence – view status of other extensions and avoid unnecessary
- Browser Extension – call colleagues, numbers in web pages or contacts in CRM
- Hot Key Dialling – place/control calls using configurable keyboard
- Queue Monitoring – view the status of queues that you manage or are a member of.
- Call Monitoring – see callers waiting in queues and pick up a
- Text Chat – message other users one-to-one or in a group
- Record Calls – click on the record button (Pro+).
- Phonebook – 3CX Web Client provides easy access to the company and personal
Deploying the 3CX Apps
The 3CX Apps are available via the Apple Store, Google Play Store or via download links (Mac and Windows). After a user has installed their 3CX App they need to:
- scan the QR code included in their Welcome Email or in the Web Client’s Account menu,
- double-click on the attachment provided for the Windows and Mac apps.

Note: You can deploy the 3CX App for Windows via Active Directory, combined with the required “Microsoft Visual C++ 2010 x86” msi package on x86 and x64 clients.
Managing the 3CX Apps
To configure the 3CX Apps options available for each extension from the 3CX Management Console:
- Go to the “Extensions” function, click on the extension to open or select and then click “Edit”.
- On the “Phone Provisioning” tab, select the 3CX app in the “Your phones” dropdown to configure:
- Network
- “Network interface for registration and provisioning” – select on which network interface the app connects to.
- “SIP Transport” – select preferred SIP transport.
- “RTP Mode” – set audio and video data encryption level.
- “DTMF Mode” – DTMF detection – leave default.
- Access
- “Block Presence information in 3CX Clients / Webclient” – removes the user’s ability to use 3CX app.
- “Hide Forwarding Rules” – removes the user’s ability to set their forwarding rules.
- “Show Call Recordings” – allows users to see their call recordings (Pro+).
- “Allow Deletion of Recordings” – allows users to delete call recordings (Pro+).
- “Codecs” – select Codecs and their priority.
- Click “OK” when done.
Updating the 3CX Apps
Updates to the 3CX Apps for Windows and Mac are deployed automatically via the PBX. When a new app version is available, 3CX downloads the update and notifies users. 3CX apps prompt users on startup to update to the new available version.
The Android and iOS apps are automatically updated through the Google Play Store and the Apple App Store, if an updated version is detected and auto-update is enabled.
